This privacy policy describes how Linkolis collects, uses, shares and protects personal data in connection with the use of its linkolis.app website, its shipper.linkolis.com application and all of its e-commerce logistics and fulfillment services (hereinafter the "Services").
By accessing our sites and using our Services, you acknowledge that you have read this policy and the data collection and processing practices described below.
This policy is established in accordance with Regulation (EU) 2016/679 of 27 April 2016 ("RGPD") and amended French law no. 78-17 of 6 January 1978, known as "Informatique et Libertés".

2. Linkolis's commitments
As part of its processing activities, Linkolis undertakes to:
- only collect and use data with a specific, legitimate and predetermined purpose;
- only collect data strictly necessary for the relevant processing;
- only retain data for a limited period consistent with the purposes pursued;
- only carry out data transfers when necessary and in compliance with applicable security rules;
- ensure respect for the rights of data subjects and the conditions for exercising them.
3. Data we collect
3.1 Data you provide us directly
When you use our Services (account creation, quote request, contact form, subscription), we may collect:
- last name, first name;
- email address, phone number;
- company name, job title, website;
- postal / billing address;
- economic and contractual information (company registration extract, bank details, parcel volume, carrier contractual data) necessary for the performance of the Services;
- the history of your exchanges with Linkolis.
3.2 Automatically collected data
While browsing, we may collect technical data: IP address, login credentials, browser type and version, operating system, and browsing data. This information is collected via cookies strictly necessary for the site's operation (see section 9).
4. Data from marketplaces and connected platforms (processing on behalf of our clients)
As part of providing its fulfillment Services, Linkolis connects, at the request of its merchant clients, to marketplaces and e-commerce platforms (notably via their application programming interfaces – APIs). As such, Linkolis is required to process personal data relating to merchants' end buyers (hereinafter the "Buyer Data").
Status of the parties. For this Buyer Data, Linkolis's merchant client acts as data controller and Linkolis acts as data processor, within the meaning of article 28 of the RGPD. Linkolis only processes this data on the documented instructions of its clients and solely for the purposes described below.
Nature of the Buyer Data processed. Recipient's last and first name, delivery address, phone number and/or email address necessary for delivery, order references and content, tracking and return information.
Exclusive purpose. This data is processed solely for the logistical execution of the order: order receiving and picking, shipping, carrier selection, label generation, delivery tracking, returns management and resolution of related incidents. Linkolis never uses Buyer Data for prospecting, marketing, advertising or resale purposes.
Specific retention period. Buyer Data is retained only for as long as necessary for order execution and follow-up, then deleted or anonymized within a maximum of 30 days from shipment or order closure, unless a longer legal retention obligation applies or a dispute or ongoing return needs to be managed.
Enhanced security. Buyer Data is subject to state-of-the-art security measures: encryption in transit (TLS 1.2 or higher), encryption at rest (AES-256), strict access control based on the principle of least privilege, access logging, enhanced authentication and a security incident response procedure. This data is hosted within the European Union (see section 7).
This processing is implemented in compliance with the contractual requirements and data protection policies imposed by partner marketplaces, and notably the Amazon Data Protection Policy applicable to developers accessing the Amazon Selling Partner API (SP-API).
5. Purposes and legal bases of processing
Linkolis processes your data for the following purposes:
- Customer relationship management and performance of Services — legal basis: performance of contract (art. 6.1.b RGPD);
- Management of contact and quote requests — legal basis: pre-contractual measures / legitimate interest (art. 6.1.b and 6.1.f RGPD);
- Invoicing and accounting/tax obligations — legal basis: legal obligation (art. 6.1.c RGPD);
- Information systems security and fraud prevention — legal basis: legitimate interest (art. 6.1.f RGPD);
- Processing of Buyer Data on behalf of merchants (see section 4) — legal basis: performance of the contract between the merchant and its buyer, with Linkolis acting as data processor (art. 28 RGPD).
6. Data recipients
Your data may be shared, to the strict extent necessary, with:
- partner carriers, for parcel delivery;
- connected marketplaces and e-commerce platforms, for order synchronization;
- our technical subcontractors (hosting, software solutions, IT services), carefully selected and bound by contractual confidentiality and security commitments;
- administrative or judicial authorities, when required by law.
Linkolis does not sell or rent your personal data to third parties.
7. Hosting and data transfers
Data collected as part of the Services is hosted by Amazon Web Services EMEA SARL (38 avenue John F. Kennedy, L-1855 Luxembourg), on servers located within European Union (eu-central-1 region, Frankfurt, Germany).
Linkolis favors hosting and processing data within the European Union. Should a data transfer to a third country prove necessary, Linkolis undertakes to implement the appropriate safeguards required by the RGPD (notably the standard contractual clauses adopted by the European Commission).
8. Retention periods
We retain your data only for as long as necessary for the purposes for which it was collected:
- Customer data: for the entire duration of the contractual relationship, then 10 years from the end of the relationship (accounting and legal obligations);
- Prospect data: 3 years from the last contact;
- Buyer data (fulfillment): maximum 30 days after shipment or order closure (see section 4);
- Billing data: according to the retention periods required by applicable tax and accounting legislation;
- Cookies: maximum 13 months from the date they are placed.
9. Cookies
The linkolis.app website only uses strictly necessary cookies for its operation (security, session maintenance, display preferences). These cookies do not require your prior consent.
Should audience measurement or advertising cookies be added in the future, a consent banner will allow you to accept or refuse these trackers, and this policy will be updated accordingly.

10. Your rights
In accordance with the RGPD, you have the following rights regarding your personal data:
- right of access;
- right to rectification;
- right to erasure ("right to be forgotten");
- right to restriction of processing;
- right to object;
- right to data portability;
- right to withdraw your consent at any time, where processing is based on it;
- right to define directives regarding the fate of your data after your death.
To exercise these rights, send your request to contact@linkolis.com or by post to the registered office address. Proof of identity may be requested.
Special case of Buyer Data. When Linkolis acts as data processor on behalf of a merchant (section 4), requests to exercise rights from end buyers should be addressed to the relevant merchant, as data controller. Linkolis assists its merchant clients in responding to these requests.
You also have the right to lodge a complaint with the Commission Nationale de l'Informatique et des Libertés (CNIL), 3 place de Fontenoy, TSA 80715, 75334 Paris Cedex 07 — www.cnil.fr.
11. Minors
Our Services are aimed at professionals and are not intended for minors. Linkolis does not knowingly collect data concerning persons under the age of 16.
12. Data security
Linkolis implements appropriate technical and organizational measures to protect your data against loss, misuse, unauthorized access, disclosure or alteration: encryption (SSL/TLS, encryption at rest), firewalls, access and authorization controls, logging, and physical and logical access restrictions to systems.
13. Changes to this policy
Linkolis reserves the right to modify this privacy policy at any time in order to adapt it to legal, regulatory or technical developments. The applicable version is the one published on the site on the date of your visit. In the event of a substantial change, registered users will be informed.
